Using workflow to change folder permissions for existing groups with access

Hi folks,

 

Is there a way using workflow, either a business process or a search driven process, that can look at a folder entry, figure out which groups have read access to that folder, and then I can modify those entry rights for those existing groups?  We have hundreds of folders with multiple user groups in each that have some access permissions that I want to remove, and I don't really want to have to go through each folder manually.  The groups with access vary depending on the location of the folder.

You cannot really use workflow to look at access rights for users/groups across folders, so you could check the entry access rights manually. Or, to look at the access rights to multiple folders in the repository, you can check out this utility as described on the Solution Exchange (check out this Answers post for more information).

 

Once you know which entry access rights you want to assign and/or remove, you can use the ‘Assign Rights’ and ‘Find Entry/Entries’ activities in Workflow to do that for you. Check out the help files for more detail on the ‘Assign Rights’ activity and  these Answers posts (here and here) for more ideas on how you might want to build your workflow.
