Question

Create token from Form table to Fill out a PDF

asked on February 15, 2016

Hi, I am trying to create tokens from Laserfiche Form table (with multiple rows) in order to fill out a table in PDF with "Fill out PDF Form" action.

I have found this question: https://answers.laserfiche.com/questions/60502/Fill-pdf-table-from-form-table but I can't get mine to work- it only shows me data from row 1.

I named my fields properly in the PDF but I think where I am having the issue is the tokens. Can someone please help me or point me to a document that talks more about this feature?

Thank you!

Say you have a table in your PDF, like this:

When you click on the Table tab in the PDF Viewer in Fill Out PDF Fields, the bottom right corner will list all fields in the PDF. The table fields usually have names following a pattern, like Full Name 1 for the first row, Full Name 2 for the second row. So Workflow uses regular expression to define tables.

As you click into the textbox at the top and start to type a field name, Workflow will autogenerate a pattern for the field:

The middle list will show which fields would match that pattern. If they're the fields you want, then keep the pattern. Otherwise, you can keep typing to narrow it down or adjust it to match the desired fields.

Then you can set the value using the token for the matching table field from Retrieve Forms Content. (In this example, my Forms table is called "Table" and the column is called "Last")

Are you using the table feature in Fill PDF Form? Can you post screenshots of your current configuration?

here is the information from LF Forms:

Here is my workflow configuration (I went through a few different ones trying to figure out how to do this but I did not save those)

And lastly here is the fillable form to which I need to write the fields.

If there is anything I missed that you need to see, please let me know :) Thank you Miruna!

I am having problems with this process and would appreciate it if you could explain the token assignment to me in better detail.

So %(CourseName_Course_Name_AGS) is the name of the column in the Forms table?

Could you post a screenshot of the fields configured in Fill PDF Form?

Course_Name_AGS is the name of the column in the Forms table. The CourseName is a token from the workflow.

I think my tokens are all wrong, here is the fill pdf action:

The tokens in Assign Token Values look like they'll all have the same value.

You want to use the Table feature in Fill PDF Form to define your columns. Then you can match those with the table token from Retrieve LF Forms Content. Workflow will automatically expand the multi-value column token from Forms into multiple rows in the PDF.

Can you please explain how to use the pattern in Table feature of the Fill PDF Form action? Values are the Retrieve values from the form, I understand the name, but I am confused about what to put in the Pattern field. If there is a resource online about this topic that I missed, please let me know.

Thank you Miruna!

Miruna, I am sorry to bug you again about this- would the process be pretty much the same for retrieving a table from Forms and listing them into a single large textbox?

When in table tab within the Write to PDF action, my values don't come up so I wonder if per row should be changed to per value?

I would like to know more about this specifically for turning a multi value token from a column in forms into a search syntax for file attachment which in turn will lead to generating URLs in a PDF.

Sorry I mean should For Each Row token be switched to For Each Value?

I have tried to do this is several different ways and have not had any success.  Is anyone who has this working willing to do a hang our or other video conference with me?  Any assistance is appreciated.

Attaching the current settings that are not working.
