Laserfiche 9.1 - Possible to Snapshot image only (without text)?

In Laserfiche 9.1 (Snapshot driver 1377), is it possible to use Snapshot to only generate LF images?  It appears that the checkbox for "Extract text to file" that showed up previously in the LF 8.2 Snapshot Printing Preferences is no longer available in the Snapshot Printing Preferences under LF 9.1.1.584.  Screenshots of the old and new Printing Preferences window are attached.

In the Snapshot Configuration utility (under the Text tab) there are radio buttons for 'Obtain text from the print job' or 'Perform OCR on the images created for the print job'.  But it appears that you must select one or the other...selecting neither doesn't seem to be an option.

Is there a way to setup our users so their default Snapshot configuration doesn't generate .txt or .loc files?

This issue will be addressed in the Snapshot that will ship with Laserfiche 10.

We receive case and client related documents from third parties in various file formats, and we need to preserve an image of these documents for the retention period of the associated case or client record.  For the vast majority of these particular documents, text will be neither required nor desired.  In the rare event text is needed, OCR can be performed on the specific document image.

Due to the large quantity of documents that we store, we would prefer not to burden the network file server with unnecessary files.  So, even though the .txt and .loc files are relatively small compared to the image files, we don't see the need to store three files where one would be sufficient.  For this reason we weren't extracting text when using Snapshot 8, and are hoping to avoid text extraction with Snapshot 9 as well.

Any assistance you can give us with this will be appreciated.

Hello Chad,

 

In version 9.1 and above, the options you mentioned under Snapshot 8 Printing Preference have been moved to the Text Tab in the Snapshot dialog box (please refer to the following screenshot). This change was made in order to keep all text-related processes in a centralized dialog box.

This dialog box is launched when you select Print on a document. By default, “Obtain text from the print job” will import any text already associated with a document. If you want to generate brand new text for a document, “Perform OCR” will recognize the characters on the image and generate a searchable text stream. 

 

If you want to create only an image file using Snapshot, you can use the default setting “Obtain text from the print job” on an document that does not have any text associated with it. In this case, Snapshot will only generate an image file in Laserfiche. However, if the original document has text embedded within it (ex: PDF and Word), Snapshot will automatically retrieve the associated text and generate .txt and .loc files. If you wanted to import all of your documents without text, you could accomplish this by converting them to images before importing into Laserfiche.

What are your main concerns with .txt and .loc files? If you can provide us with your use case perhaps we can explore alternative solutions.

I wish to add we are also interested in a "No text" option. We obtain approximately 10GB of incoming image files from hundreds of locations each and every day. Since these files come from numerous sources many files often contain terrible malformatted text. In fact, we dump all the text immediately after input as a separate workflow since it is not reliable and our clients now expect a decent OCR search. If we had the option to remove it completely at snapshot time, we would use that.

John: I have found a possible solution.  Try the steps in the image below and see if it resolves your issue.  After doing this one time, it will stick for future Snapshots and is not limited to PDFs (just happens to be the issue we were addressing when I put together these steps).

Well SHOOT!  This solution does appear to be limited to PDFs.  When my users snapshot emails the text file does get created.  We do need a way to shut this off, like it was in previous version, as we do not want the text files to also be created so help is still needed!

Hi Katie,

I do appreciate the tip, and it is something we have tried. The downside is that it does significantly increase the amount of time it takes to print. When its a few pages its a non issue, but we regularly import documents that are thousands of pages.
