How Does Direct Approval Work?

I am curious how the direct approval feature works with Forms.

We have configured out Direct Approval settings on the FormsConfig page. When click Test Connection it is successfully. We have saved the configuration as well. We have setup a subfolder under the Inbox folder called Approvals that all emails with specific text gets sent to. The polling interval is currently set to 5 minutes.

I have then gone into a test process I have created that has 3 user tasks. I have checked the direct approval checkbox on the first 2 user tasks and saved the process modeler.

I have then started a new submission and submitted it. When I receive the email for the first user task, I see that it has added the text telling me that I can perform the task via email and the options I have to do that. If I reply to the email with the text of one of the options, I can log into the email account that was setup for Direct Approval and see that reply comes in and is directed to the Approvals subfolder like it is supposed to. The problem is that nothing happens with it once it's in there. It does not go to the next step in the process and if I reply back with text other than what is acceptable, I do not receive a reply saying that it was not a valid response.

I having a hard time figuring out why it is not processing the response and am wondering if I can get more information on how the feature actually works?

We are using Forms 9.2.1.1069

Hi,

If you have your polling interval set to 5 minutes, routing engine would check the status every 5 minutes. "reply comes in and is directed to the Approvals subfolder" doesn't mean routing engine has completed the status checking. You can verify this by waiting 5 minutes - if it still can not proceed, please open a support case on this (please do not open any emails sent to your email direct approval account during this period).

Does the email have to be marked as unread in order for Laserfiche to process it correctly?

yes, that is correct. otherwise it will be considered as "processed already"

I was thinking that may have been why it didn't process correctly, so I submitted a new one, but got the same result. We do have a support ticket open with our VAR though, so hopefully we'll be able to figure out something soon.

After an email is processed, does the email stay in the inbox or does it get deleted?

Out of all of the emails in an inbox, how does it know what email to process for what process?

Hi

Was there a solution for this problem?  I have a customer who has similar issue.   All works fine and approved Emails comes to the Inbox but Forms doesn't seem to be reading the Email and going to next step.   

My client is using Forms 10.1

No, we never did get this resolved. It was a feature we were not using yet, so we had other items that took presidence.

same issue here. Forms 10.1.

Hello All,

 

I am on Professional Version 10.4.1.164.

I have all the configurations but when I reply to:

You can perform this task via email by replying to this message with one of the following actions as the first line of the email body: Submit. Optional comments (up to a maximum of 500 characters) can be typed in the second line.

nothing happens, I have typed "Submit" with and without the fullstop, lowercaser and everything!

 

Is this still an unresolved issue?
