Show attachments in search results - Feature Request

Hi All,

 

When searching emails in Laserfiche, I can't seem to find a way to show if the emails have an attachment. In outlook you see a little paper clip next to the email. Is there a way to do this and/or if not can I make this a feature request please? Would be a nice to have. (I'm guessing it's a property of the email we would need to reference in the same way outlook does?)

Hi Chris,

There's currently no built-in feature like Outlook has, but you have a couple of options to indicate the attachment. You can create a tag called "Has Attachment", and then check the tag whenever you import from Outlook to Laserfiche. You can do the same with a metadata field. Then in the Client, you can display the Tags or appropriate field column. 

Additionally, importing emails with an attachment gives you the option to leave the attachment in the email, separate out the attachment and file it separately, or both. If you file it separately, you can link the entries and in the Client display the column Document Relationships.

Yes, our team has been asking for this too - especially because otherwise not only are attachments not viewable if in the email, but they're not searchable either.

If the emails are mixed in with other files, then uploading them requires doing two batches-- so the workaround can be done with email and then the other non-email files can be imported.

Interestingly in my testing, the attachments are searchable in Laserfiche cloud FYI.

Hey! I'm specifically talking about web client for on-prem, I probably should have specified. are you saying though that attachments are indexed? like if I searched a keyword in cloud and an email attachment (but not the email itself) contained the keyword, the email would be in the search results? I did some testing in our client and the attachments were not searchable, but afaik web client is definitely behind cloud in functionality in some respects.

Morning Hannah, Yes in my testing side by side this was a key difference I clocked between on premise and cloud web client, in that the attachment content was included in text search hits. I'm wondering if this is something to do with the office online server that's included as part of cloud, but I'm sure LF can confirm.

This comes up for our organization all the time as well.  I have had multiple staff complain about this.  I advise staff of some of the "work around" options, but that is not ideal.  If Word can identify that there is an attachment in an email, there must be some way for the Laserfiche Preview to pick up this information and indicate whether there is an attachment in the email or not.  Do you suggest that we all submit separate feature requests for this?

We would love to have this feature added as well. I am surprised users have been asking for 7 years, yet there is no response past 2015 or feature added.

Thanks Tanya,

 

I'm aware of the options. We also have the option of using CMA Email Manager which can map across the attachment names into a field. However this doesn't help address the several million emails that are already in Laserfiche. I'm guessing the 'has attachment' must be something contained within the email as a flag somewhere in order for the paperclip thing to work in outlook.

 

Would be a nice feature to have!
