Question

Question

how to delete pages via workflow or replace version of document

asked on June 11, 2014

We have a forms process that creates a Document in Laserfiche. There is an user task for approval in forms that once approved / declined then creates another document in Laserfiche.

Our client would like the approval document to merged / replace with a new version of the original document.

Is this possible?

Workflow doesn't appear to have create new version option / tool, am i missing it?

Any ideas.

How about enable the versioning feature on the folder and name the document same way using Save To Repository service task? Then new created document will be auto added as a new version of the original one.

That worked great.

Does Laserfiche Workflow have the same functionality?

We used workflow to move a document with the same name from an incoming folder to another folder (under version control) with a document with the same name (under version control) already existing.

When workflow moves the file it creates a doc with (2) after it instead of adding as a new version.

Is this the correct way of doing this? Or is their a special procedure for workflow to create a new version not adding the doc with (2) suffix.

Any ideas.

This is a slightly tricky subject. Currently in the Client you are only presented with the option to make a document a new version of an existing document when importing, there is no way to take a document that is already in the repository and make it a new version of another document.

In the same way then, Workflow does not currently have an activity to take an existing document and combine it/make it a new version of another document.

That being said, I certainly see the use of this type of functionality and I know it has been discussed before. I'll mark this thread as a Feature Request so that it can be reviewed for consideration.

Any update on this Aaron? I'm encountering the same desire as we use static links to some documents discoverable in WebLink on other non-Laserfiche web pages.

We'd like to use a business process to update some of these documents and keep the entry ID the same so we don't have to re-update the links each time the entry changes by the workflow.

Maybe I'm going about it all wrong but I'm about to go down the SDK route unless someone can correct me!

*update. Found my solution by a combination of this post and adding in the download electronic file / attach electronic file activites.

The Version Control activity can put documents under version control. Move Pages can move the pages from the second document into the first one. If you want to merge electronic documents, there is currently no built-in activity, but you can use the SDK Script activity to do it.

I don't know if this would work for your use case, but you also have the option to save only the approved form to the repository.
