Question

Importing Email messages with attachments via import agent?

asked on June 5, 2014

Hello Everyone

I have a setup for my client and we have setup windows folders for users to drop in their file for Import Agent to pull it in.   Some of these file are email messages when import agent pulls them in the file comes in as a one message file.

The questions are:

a) Can we save the attachments separately?

b)if no, how can I index them so we can find the attachments within email by file name or text content?

c) what options do I have?

Cheers

Hi Farzali,

Import Agent is not able to import email messages while also separating out the attachments. However, the Laserfiche Server can still index the message and its attachments so it will be text searchable. You just won't have any context hit information. As for options, perhaps the users can just use the Laserfiche Office Plugin for emails if they really need the attachments separated from the email. This option is also available through a standard file import using the Client.

Hi Alex

In this situation majority of users are using Weblink to access the repository and do not have Named user account to process any jobs.   Everyone drop the file into windows holding folders than import agent moves them into Laserfiche holding folder that select people do the filing into Records Folders.   The people that file them just assign Template and field.  Than, workflow files them.

I ran the file through QF session for text extraction and I can generate Text and text page and search the message but not the names off attachments or text in them.  So, separation of attachment seems not possible with this setup.  Considering above info is there any change to index all message including the attachment?

Client side text generation behaves a bit differently and will only be able to generate text for the email message. If the attachment is going to remain in the email, you'll need to just let the Server and LFFTS perform its indexing on the electronic document as it will then index the email message as well as its attachments.

Is this part of LF Server's indexing default process or do I need to do anything?

You won't have to do anything special. Just set the option for all new documents to be indexed. This should already be on by default, but you can access it from the Lasefiche Administration Console.

You can always use MagniMail instead to import email and separate attachments from Exchange. http://citiesdigital.com/explore/products/magnimail
