Question

Search results does not return shortcuts

asked on May 1, 2014

Document located in Records section of repository, document shortcut in user folder.

For admin search results return document but not shortcut when searching by fields. Search return both document and shortcut when searching by document name.

For user who is not Records manager search does not return results when search by fields. Search return shortcut when search by document name.

Tested in LF 8.3.2 and 9.1.1.

This is the intended behavior. If you want to return shortcuts when searching on properties of the document like field or the name of the actual document (rather than the name of the shortcut), you must enable the Resolve Shortcuts option (see help files for Client or Web Access).

The option “Resolve Shortcuts” will return shortcuts when only the document the shortcut leads to satisfies the search condition. An example of this is what you described: if "Resolve Shortcuts" is off, searching on fields will only return the document. Performing the same field search with "Resolve Shortcuts" on will also return the shortcut.

Edit: As Alex noted, there is a bug with the tunneling case described in another Answers post, include some changes that can be made to work around the bug.

Travis,

Please review this previous Answers thread and confirm if your situation matches that description. Note that this presumes that the user performing the search has the Client option set to actually resolve shortcuts in search results.

If your issue doesn't match it and is different, then please contact your Laserfiche reseller to open a support case.

Alexander and Brianna,

Thank You! My apologies, I did not have the "Resolve Shortcuts" checked. All is working now. Guess it's time for reading glasses...laugh

Hi guys,

I am having this problem using Workflow. In the Client, I can get shortcuts returned in my search result, but when using the same search query in Workflow, it returns 0. Does this "issue" filter through to WF as well? How do I get WF to return shortcuts using a "Search Repository" activity?

Thanks

Sheldon

Sheldon,

This may be relative: https://answers.laserfiche.com/questions/49937/Shortcuts-to-a-document-with-only-the-Read-access-right-do-not-show-up-in-search-results . Does your WF user have all the permissions required to access the original and shortcut?

Hi Traves,

Thank you very much for the link. I had a look and I definitely have to required access rights for it to work.

To add some further info to my question, when I simply perform a "Within Folder" search query in WF using Search Repository activity, I get the shortcuts returned in my results. If I add template/field info into my query, then nothing.

Regards,

Sheldon
