Question

Initiate Workflow when entry is snapshot'd in

asked on April 8, 2014

Is there a way to trigger a workflow when an entry is snapshot'd into LF?  Is there a global token with the name application that created the entry?

Is there a reason you don't just set snapshot up to default to an "Incoming Docs" folder, then create your workflow starting rule based upon that folder and a "Entry Created"?  We do this all the time where users have an Incoming Docs folder that they snapshot to then our Workflow is triggered from that entry being created in that folder.

That would work if we could 'force' that location and not let it be changed by the user.

You can also apply a tag.

I am assuming you are looking for a way to know if any document was brought in using snapshot though, no matter the configuration. I don't think there is, it just looks like an entry created by the user account configured.

There is no way to distinguish between new entries created by Snapshoting a document into LF or by dragging an image into the Client or by scanning through LFScanning. Is there a reason why you would want these documented treated differently than other new documents?

You could set up Snapshot as a shared printer rather than a local printer. Then you'd have more control over the print settings.

Just a thought...haven't tested myself...and not sure this would work for you if you're doing any auditing on documents created by, but perhaps you could create a "Snapshot User", then setup the snapshot settings to to use that user account.  Then in your workflow, you could use your starting rule to say "Entry Created" and "By User: Snapshot".  I know this isn't perfect as then you'd lose the ability to see who created the actual document.  Perhaps that's a feature request you could make to Laserfiche....allow the default folder to be set on snapshot so they're not prompted to be able to change it, but still allow user to be prompted to enter metadata.  So instead of getting the prompt that would allow them to change location, they only get prompt to enter metadata.
