Recommended Workflow configuration to send multiple documents

What would be the recommended Workflow configuration to send multiple documents in one email? The example is: A Form and it's attachments are submitted and stored in Laserfiche. This Form and attachments must be emailed to someone who does not have access to the repository.

 

I have tested using the routed folder and including all contents. This works, however if there are 3 documents in the folder I get 3 emails with all of the emails containing all documents.

 

Recommendations?

Cynthia, it sounds like you are running a Workflow instance for each file? If that is the case, you could special case the form so the email only gets sent for it and not its attachments. Or you can start the workflow from Forms with a service task as part of the Forms business process. Then you can find the parent folder and email it out. That should also give you a single instance rather than one per document.

If you include all the attachments in one email it should only send it once. Is there any sort of "For Each" around the Email activity?

 

Your Email Activity should look something like this:

No, there are no "For Each" activities. It is a simple workflow with a routing decision based on field values, route to folder, and email.

I added a solution for making multiple email attachments when those attachments must use a 'For Each' activity to be found.
