Forms Portal Licensing Configuration

I have an activation key for the forms portal (unlimited connections), is there any documentation on how to configure LF forms using the portal licenses? Where do I enter this activation key?

 

Is this configuration similar to the Web Link Public portal licensing when the option is check for "Allow read-only access (Manage Trustees privileges bypass this setting) using a trustee account?

Installing Forms/Forms Portal is the exact same process. You would just use a different activation key. As for configuring public access when using Forms Portal, see this help page.

You should have a separate limited activation key that you would use for your portal instance instead of the unlimited one.

Looking at my organization profile it says FORMS-PORTAL License = 1

 

Looking in License Manager on Properties of Forms (9.1), it says License Limitations Forms Portal (1)

 

Do I have Forms Portal ?  How do I install and Configure ?

 

On the Business Processes Access Rights, the "public" or "restricted" doesn't appear - I can just add users one by one.

 

Does the (1) Limit mean that if I have Forms-Portal that it can only be used for one business process/form ?

You can install Forms (without the Portal feature) on as many machines as you want with a Rio license. Portal is limited to the number of machines specified in the license, 1 in your case. You have to assign the Forms Portal feature when you register a Forms instance, so the license will contain the appropriate flag. There is nothing different in the installation, you can use the license with the flag or change the license after the fact to enable the feature.

Hi Miruna, thanks for answering.

So would the Forms Portal Feature be registered on the server ?

How can I change the flag/license to enable the feature ?

 

(I don't want to lose all the BPM/Forms I've created.  Just make some Processes be able to be public)

If I re-register a new instance (checking the box), will I lose all my work (Forms and Processes we are already using)

No, the data is saved in SQL. You can delete and re-register the current instance with the Portal flag if you intend to replace the license on a running instance for Forms. You can register a new one if you're installing a new server.

Ok.  Thanks.  We've put a lot of work into forms, and are using them a ton internally.  This is just the first encounter we've had where a department wants to make forms externally (publicly) available.  We have too much invested to redo everything we are currently using.

 

So the process would be to delete the current instance from License Manager (on the server) and re-register said instance with the Forms-Portal flag checked ?

 

Should I stop the forms service or anything ?

 

What will happen to forms currently in an approval process ?  Will they be orphaned or fail ?

Ok.  I deleted it. Re-registered with Forms-Portal Checked.  Stop and Restarted Services and still don't see the "Public" or "Restricted" Section in the Access Rights tab of a process.

You don't need to stop the Forms service first. But after re-registering the instance, you need to download the license, replace it in on the Forms server (in<install folder>\Forms\bin, by default C:\Program Files\Laserfiche\Laserfiche Forms\Forms\bin) and then restart the Forms service.

The data in SQL is not touched. You can back up the SQL database first if you want to be extra safe, but it's not necessary.

If your current master license already has forms portal in it, you don't need to update the Rio master license itself in the License Manager. If it doesn't (say, you just added it to your order), you'll need to reactivate the master license. You can do that directly in the license manager though - you wouldn't need to get a new copy from the support site.

That said, I belive Miruna was just noting that having created the new portal instance in the License Manager, you'll need to ensure that the Forms installation you are using gets that specific license with Portal.

Or click on "Generate License" from License Manager, and then collect it and put it where you specified and restart service ?
