Feature Request: Custom Access Rights Roles in Forms

asked on December 27, 2022

There are currently 3 roles for a process in Forms, Process Admin, Business Manager, and Submitter. In the help documentation each one is listed and describes the various actions they can perform.

Compared to the Laserfiche Repository access rights, the Forms access rights are not very flexible. We have various Forms processes where it would be nice to have different roles with specific access rights for different processes. It would be great if we could create custom Roles in Forms and specify what access rights each would have.

Using the descriptions in the help documentation, the access rights could be broken out as follows:

  • Modify Process
  • Edit Process Instance Names
  • Cancel Process Instances
  • See Process Results
  • View Reports
  • Create Reports
  • Edit Reports
  • Share Reports
  • Take Snapshots
  • Complete Tasks
  • Reassign Tasks from Monitor
  • See Completed Tasks
  • Start process

That's just an example but could be expanded on or cleaned up. The main idea is the ability to expand on the 3 currently available roles based on each organization's needs.

I've always felt that the roles in forms weren't granular enough.  This would be a great enhancement.

As Pieter mentions in this post, it would also be nice to be able to set System Wide Roles.

Side Note:  It would also be great if a Participant License would enable a user to view Forms Reports.  I understand that the definition of Participate in forms processes means different things.

This granular setup is really needed to allow Forms to provide the access levels customers have come to expect from Laserfiche.  The issue I am running into is that someone wants to be able to see all the instances in a process, including the actual forms submitted, but I don't want to grant them "Business Manager" role since that gives so much more access.  I really hope Laserfiche is listening and plans to add more granular roles or the ability to create custom roles.
