Question

Education User Licenses

asked on August 7, 2020

Hello,

We are looking at getting education user licenses for all of our employees so we can really up our LF game.

We are just very cautious about change and want to be sure that we don't miss something.

I'm just having a hard time finding informational sheets on the exact functionality on the Laserfiche site (maybe I'm not using the right search terms). Is there a comparison sheet somewhere?

Has anyone in this group upgraded from Avante to Rio and also gotten the education user licenses?

We were originally on Avante and had a stack of Forms Participant licenses. We recently migrated those to Education licenses on Rio. For us, it was about getting the ability for the majority of our staff to participate in Forms processes instead of being anonymous submitters only.

Pay attention to the user counts available--depending on your organization's size, you can end up having to pay for a lot more than you need.

Hello Scott,

I know this post is from a while back but wanted to ask you, when you migrated to the Education licenses in RIO were their any issues you encountered?  Primarily moving to the LFDS model of syncing these users via an LFDS Group like Forms and changing out any Participant Users assigned User tasks that now have a Education Users license.

Appreciate your feedback,

Jeff Curtis

Hi Jeff,

We ended up upgrading and it went well. It was a little stressful because I was worried about tasks not retaining or losing track of people. I did save a copy of our user list before doing it to audit things. But it worked out well, because the usernames were the same when they came back through on the LFDS sync with the educational licenses. There wasn't any change from the user's perspective on license functionality. I will say any one bad account in your identity provider coming in can stop the sync.

Hi Levi,

The Education user licenses are for users associated with accredited educational institutions. Possible users include employees, students, alumni, and parents or guardians of students. The licenses provide read-only access to the repository and the ability to participate in Forms processes. Hope this helps!

That must mean they are Participant Licenses. I think the problem is that "Education" is not a license type in Laserfiche. So it is unclear, before you buy, which license type you get, from the official licenses you can assign to users listed here

https://doc.laserfiche.com/laserfiche.documentation/11/administration/en-us/Default.htm#../Subsystems/LFDS/Content/UserLicenseTypes.htm

This helps me confirm that they appear to be Participant Licenses.
