Question

how to assign participating licenses In Forms 10.4

asked on July 15, 2019 Show version history

Hi all,
I have the following question, nowadays, a license of Avante System, and with 40 participating users, the question has been that in the directory server I do not have the option to assign the participating licenses to Forms as I usually needed to do The assignment.
How do I get this to happen? Since I have been searching but in the Directory Server when the license for Forms Professional is created, I do not have the option to do the assignment of the license!

For the new Participant licenses, the users must be authenticated and licensed through Directory Server --- which means your system does need to be set up for Directory Server Authentication. As such, you cannot allocate these licenses to a specific Forms server (or Laserfiche Server)

These users are able to log in to the repository with read-only access and have forms participant status within the Forms application.

This makes a lot of sense, but when this change was implemented, the allocation of licenses from forms is no longer done?

Correct: you no longer allocate licenses within Forms if you are using this type of participant users.

The old type of license that is allocated in Forms should be labelled "Forms Authenticated Participant" (instead of just Participant), so you can tell from within Directory Server what type you have.

Even if you have the Forms Authenticated Participant licenses, they still can be assigned from within Directory Server if you are using Directory Server for authentication --- which is what we recommend.

If you have created participant users within Forms but wish to move these users to Directory Server, you can migrate them from Forms to Directory Server.

The step now would be, how to create the participant forms user, would this create the user in the Directory Server, and update the list of users in Forms or in what way would it be done?

You can find information on switching to Directory Server authentication here:

https://www.laserfiche.com/support/webhelp/Laserfiche/10/en-us/administration/#../Subsystems/Forms/Content/Laserfiche-Directory-Service-Users.htm?Highlight=directory%20server

Basic information:

  • The users should be created (and licensed) within LFDS. You can add Active Directory users or you can create Laserfiche users
  • These users should then be added to a group (or groups) within LFDS, which is then used to synchronize with Forms. The groups will be selected during configuration on the Forms
  • After configuration is complete, Forms will then synchronize the users from LFDS to Forms so that they appear in the Forms user list.

Is Forms going to use Repository Authentication, or Directory Server Authentication?

I believe Directory Authentication is now the recommended approach, and with Directory Server Authentication you don't need to allocate licenses to the Form server because the Participant licenses are assigned to users through the Directory Server.

But I was trying to find where the license allocation could be made but I did not find where it was.

Interesting. What do you see when you don't have "Opciones avanzadas" selected?

Does anything change if you identify the host? (clicking "Buscar")

Do you have any participant licenses available? Can you show the main page where the number and type of available licenses are displayed?
