10.4 Rio Community/Forms Participant Licences

We have a client with a mixture of Forms Participant Licences and the Subscription for Community Licences. At the moment in 10.3 it does not show a split between the forms participant and community licences and provides an overall total of these licence quantities combined. There is no way to see how these have been allocated.

I understand that when we upgrade to 10.4 it can now show the split between the licences? The question has been raised to ask what will happen with the already allocated licences? I assume Laserfiche has no way of identifying what licence is a Forms Participant and what is a Community licence. What is the best way to deal with this going forward? Would it be to use separate AD groups to allocate licences?

Correction: what matters is how the license is activated, not necessarily the purchase date.

  1. If you are activating from the LFDS 10.2+ UI, it should get the correct license type upon renew
  2. If you are activating from the activation tool packaged with LFDS 10.2+, it should again get the correct license type
  3. If you are using another version of the activation tool, it will return the old-style licenses

We will work to (a) document this more clearly and (b) update the activation tool.

The improved community user type  has been supported since LFDS 10.2. Community licenses purchased before the customer was on 10.2/before 10.2 was released were sold and managed differently. Activations from older software (older LFDS; older versions of the activation tool) will end up requesting that older-style license

If you are only seeing Forms Authenticated Participants in LFDS, upgrading the software will not automatically separate the users --- though I still recommend upgrading to 10.4, since there have been other subscription improvements.

Once the master license has been updated and renewed within LFDS, the user types should appear separately. If you upgrade to 10.4, you will be able to see which user licenses have expiration dates from the overview page (as well as seeing the correct name).

Note that you will not be able to renew the master license in LFDS until you have reduce the number of assigned Forms Authenticated Participants to the number available in the updated license --- if you have not done so, you will receive a error dialog that tells you how many licenses you need to remove.

Final notes:

  • Community licenses can only be assigned within LFDS (they cannot be allocated to a specific Forms Server or Laserfiche Server)
  • Community licenses require that you are using SSO for Forms
  • Community users and forms authenticated participants will be displayed the same in Forms (once Forms is using LFDS for authentication)

Are you asking about how they appear in Laserfiche Directory Server (LFDS) or in Forms?

We have completed the upgrade on LFDS to 10.3 however the other applications are still on 10.3. Do they need to be upgraded aswell?

As you note, the upgrade didn't automatically split out the community licences and forms authenticated participants.

The master licence has been updated and renewed and it is still not splitting out the users. Do you have any other ideas?

My apologies, I was unclear: when I said "getting the customer's master license updated", I mean that someone at Laserfiche may need to actually make changes on our side to what the master license includes.

Someone from our customer success team will be reaching out to you so we can get a better understanding of the problem and work on a resolution.

 

Regarding the application versions: it depends on what you are trying to accomplish with LFDS and SSO. We strive to make LFDS compatible with recent versions of other products, but it is recommended that they are on the same version. Hard requirement for version compatibility are included in the release notes.

For example, Directory Server 10.2 and later requires Laserficher server 10.1 update 3 or later (as indicated in the Directory Server 10.3.1 release notes).
