Question

Team Filter based on role and a field variable

asked on February 28, 2019 Show version history

I am trying to create a Team filter that will send the form to the correct role, within a team, based on information chosen in a field on a form.

I work in HR and am in the process of building our Hiring form and at our Job Offer step, I have 5 different people - all in different roles - that need to have the form assigned to them but only for their group of employees. On the form, I have the Initiating person choose what employee type they are hiring. I would like to use this field to determine which role is assigned at the Job Offer step. Ex: Elementary Staff would go to the Elementary role.

I have messed around with it for a few days and did some digging on here and couldn't find an answer. Does anyone know if/how I can accomplish this? Thanks for your help!

You could create an exclusive gateway with an output for each option that's available in the field. Each of those outputs would lead to the corresponding user task for that particular role.

Thanks,

Michael

Yeah, that's what I was going to do originally, but our VAR said I could do it with team filters to keep my workflow a little cleaner. Unfortunately, he has been out of the office so I was trying to figure out how to do it without him. You and I are thinking the same way though! :)

I see where you're going. I've used team assignments before, but only to a specific team. I did a little searching and came across this thread. Have you seen this one yet? https://answers.laserfiche.com/questions/114536/How-are-dynamic-team-filters-constructed#141698

Thanks,

You can always create a drop down and then reference this in the Process diagram

E.g.

Dropdown within the form "To be Assigned to"

Then within the process you would refference {/dataset/To_be_assigned_to}

This would only work if you actually created a team with the exact name as in the drop down.

This can also be done for user specific but ideally you would pull a list of users using the lookup rules.

We use this for forms but we also then auto fill the dropdowns using Lookup rules so the Team or user who the forms are being assigned to are pulled from a database

Thats a good idea to keep in mind! I used to do this in an old system we had. That might be a great Plan B! :) Thanks for your help!!
