Question

participant user license not working in Forms

asked on January 7, 2019

Hi Everyone

I have a problem regarding participant user license in forms.

I have set up my users in LFDS as Laserfiche users and the Full users are working 100% and showing, Although I cannot seem to get into Forms with my participant user license.

I have 4 users as per below:

The agreements Cape Town User is a participant user license and shows invalid under full licenses, and under the participant's tab, there are no users. I tried to import a .csv with the user list no success, Gives me an error code.

I am running this on SSL, I am sure I am missing something as the participant-user can access the repository but forms indicate that it is not a names read/write user.

If someone could guide me it would be great, Thanks in advance.

Cheers

Take a look at your Forms Config page (server/formsconfig). Under the "User Authentication" section, is it set to Directory Server Authentication, or Repository Authentication?

If it is set to Directory Server, check which Groups (LFDS Groups) have access and make sure the user is a member of one of those groups.

If it  is set to Repository Authentication, then your user needs to be listed in the associated repository for them to stay "valid" when the sync occurs.

Hello Jason,

In my case, I only have the option to "Use Laserfiche Server authentication" in the FormsConfig "User Authentication" section (there is actually a single radio button). How can I check/grant LFDS groups access to Forms? The users (Windows AD) whom I am trying to give access to have been assigned "Participant User" licenses (not authenticated participants). They can access the repository for retrieval only.

I am on Rio 10.4

Thanks,

The new "Participant User" can only be assigned in the Directory Server. As a result, you would need to switch Forms over to Directory Authentication.

The process actually requires changing the database to enable the option, and there are several other steps involved to get everything working.

There's a KB article detailing how to enable Directory Authentication here as well as additional guidance/information in the documentation here.

Thank you very much. This is very helpful. The option for LFDS authentication is now visible. Will continue with the rest of the setup next.

Hey Jason,

I am missing a piece here.  How do I check and make sure a Directory Group, created in LFDS with the Participant users in it, can be setup in the User Auth section.

When I go to type the name of the group, I get a message that the group cannot be found.

Any pointer appreciated,

Jeff Curtis

I assume you mean the User Authentication section of FormsConfig, right?

Are any groups available at all? I can't thank of any reason a group wouldn't be found, as long as your Forms instance is successfully connecting to your directory server.

Do you see the "connection verified" message for the licensing site?

@████████,

Just a shot in the dark here, but have you synchronized your users:

Found in the Administration page:

You have to synchronize to see any changes made in LFDS.

I thought this post shed some light on this subject matter. It has a bit of entertainment value because it between a Laserfiche employee and a former LF employee...

Hope this helps :)

Switch the tab from "Named Users" to "Participants", then click on "Configure LDAP" - that is the best way in my opinion to add Participant users.

Connection type: Standard LDAP

LDAP Server: myserver.edu

Authentication type: simple

LDAP account: forms@mydomain.com

Password: ------

Base distinguished name: this is where you go into your AD, right click on a person, select properties, Attribute editor (If you don't see this then you need to enable advanced features) then copy the value from "distinguishedName"

Thanks this is what I did @Lidija and @Jason, my Authentication was on the Repository and not LFDS.

Working 100% now.

Thanks for the Feedback.
