Question

email documents as PDF file size

asked on August 15, 2018

Hi,

Our Laserfiche Snapshot is configured to convert all snapshots to Medium resolution TIFF JPG documents. This works great as it allows us to combine documents.

An issue we noticed is when we Email a document from Laserfiche, the exported PDF are very large files.

A 3 page, 23 KB Word text only document that was snapshot into Laserfiche is now being exported and attached as a 8 MB file.

Are there any settings we can adjust that would reduce the file size ? or optimally convert the TIFF back into text for a greatly reduced PDF file size.

Thanks !

PDF/A is an archival version of PDF, and it tends to pack in a lot more data with the idea that it will be easier to open in future versions of PDF readers.

I just created a three page Word document and used Snapshot to import it. The size in the repository is 158 KB. If I export using the settings in my screenshot above, I get a PDF that is 163 KB.

@████████ Is right about images being much larger than text. Also, due to the nature of JPG compression, it is possible to come up with a larger image if you attempt to "recompress" an existing image.

Try looking at the export settings at Tools > Options > Download > Images

There are a number of settings that that may have an effect on your file size.

Thanks Devin,

I am trying different combinations on those settings.

Create as PDF/A-1b is definately making the files a lot bigger, so I have kept that unchecked.. the file grew from a 3MB to a 10 MB.

O got one, "Optimize compression for text on color images.."  brought it down to 237KB

ok good to know on the PDF/A, thanks.

Your 163KB is reasonable, I assume that was all black text ? triggering the B&W image format ?

Yes, understandably images will always be larger, I think growing from 23KB in Word to 237K from TIFF to PDF on download for a document with color in it, is totally acceptable with a lower quality PDF.

Thanks again, I am happy with this solution.

We store all of our documents in Level IV TIFF, which is a lossless black and white format. The document that I imported with Snapshot was all text.

You mentioned that your TIFF was using JPG compression. That indicates that while the container is a TIFF, the compression is done with JPG. There will be variations because of that.

I hope this all makes sense, and that you can get some satisfactory numbers!

An image will always be much larger than the text it represents.
