Changing Filename when attaching Form in Email Service Task

asked on January 3, 2018

Hi, is there a way to change the PDF filename of the attach form when using Email Service Task in Forms? At the moment, it seems to use the Form title as the default filename.

I understand I can send the email with the attach form by invoking workflow instead, but the issue I am having is I need to include the attachments user uploads in the email, which can be multiple at times, meaning that I need to locate all the attachments in the workflow and attach them to the email, which isn't possible with the email activity in workflow at the moment.

Thanks

I don't know of a way to change the attachment names when sending an email in Forms. An easy way to do what you're looking for would be to send the form and attachments (or shortcuts to them) to a single folder and, via Workflow, email the contents of that folder. Put a search activity that looks for the folder right before the email activity, and on the email activity configure "The selected entry is a:" to "Folder". Then select "Properties" next to "Folder" and choose "Attach a copy of the folder's contents, expand the "Show Document Properties" link and select "Attach copies of the documents", along with any other options you want to use.

Hi Wai,

If you must change the names I think you will need to go with a workflow solution.   It is possible to locate and attach multiple files.
See this post and the solution that  @████████  posted ( dated June 17 ).   A bit of work to what seems like an easy problem but it works well.

Thanks Andrew!!

There is much more inclusive page describing the process. I have no idea why these 2 posts appear to be identical, but one only has half the posts.

If I remember correctly, I made a stand alone post about this as well and had several inquiries on it. I can't find it any more. I went through all my subscriptions to no avail.

Hope this helps.

Hopefully with Forms switching to a new PDF generator in the latest version, this will become an option in future version.
