Laserfiche Training Resources

Hi Folks, Michael here from the City of Kent, WA. We are just starting to on-board Laserfiche at the City and I am responsible for training end users on the new system. I would love to hear what helpful resources, training approaches, success stories, or quick tips you have discovered with Laserfiche. In particular, if you work in local government, I would love to hear what your experiences have been rolling out this new system to all employees.

Joanna, I just reviewed this guide and really like it!  I have saved it for our staff and let them know about it.  I also plan on using it for future training.  It wasn't available when I was looking for things like this and I really appreciate that it is now available.  Thanks!

Michael:  

We have about 30 regular users in our municipal office.  I am the lead on our Laserfiche implementation and I have to admit that Laserfiche's training videos were NOT what our staff wanted.  Almost all of the training videos were great for me, but our regular users did not want to see anything at all except what they needed.  The videos showed at least 50% of things they would never use.

As a result, I had to create my own training tools.  I created a LF Manual, which resulted in about eight sections of what I call cheat sheets for them to reference.  For instance, lets say a week after someone was introduced to LF in a group training session or even a one-on-one with me, they remembered being told that they could change the columns in a folder to find something faster, they could pull out the manual and turn to the tab for Column Profiles, which had examples of our repositories folders (printscreens), examples of the four main Saved Column Profiles that I had created for Everyone, and how-to's (how to set a Saved Column Profile, how to create their own Saved Column Profile).

I also eventually created a few videos to walk people through some how-to's in our repository using Jing @ Screencast.com which I believe are open to anyone.  You could try following this link to view them:  http://www.screencast.com/t/IlHfofUH

I found that our users wanted these more specific instructions and not just a basic overview to give them ideas.

This is very helpful information -- I anticipate needing to customize LF training to the specific needs of our users and workflows. Glad to have this confirmed with your message! I've used Jing and Snagit before and will likely create some similar videos as part of our training.

We're planning to roll-out LF in stages starting with records management, giving users time to familiarize themselves with the system before introducing new features (e-forms, workflow, etc). The potential of LF is very exciting! But this will be a big change for some of our users and providing job aids and manuals sound like good advice. If there are other "sticking points" that you discovered along the way, please feel free to share.

Michael, I recently participated in an AIIM organization's virtual event for World Paperless Day in which I talked about our implementation project.  I've looked at my speaking notes and will share what I think you might be interested in.  The following items are copied from those notes:

We found that this project required a dedicated person tasked with getting this implementation project moving from start to finish.  It could not have been tacked on to a list of responsibilities for someone already working full time. 

We formed a Committee to for this implementation project, which included our CAO and CFO as well as myself and two of the CAO’s assistants. 

     - This worked well for us,

     - We found that if the CAO’s team was happy with the decisions made, the other departments mostly fell in line

     - The assistants were my first test pilots and between the three of us, we came up with most of the solutions. 

     - It wasn’t easy for sure and often we felt like we were going one step forward and two steps back, but eventually, we achieved our goals and even exceeded them!

Wow, Connie this is really great stuff!

These are exactly the kind of issues we will need to address with users during implementation. Developing a folder structure, naming conventions, and communication plan will be critical to our success. Also, as you mention, I do anticipate some resistance to change, so having a plan for that is good advice. Thanks again for sharing, I'll keep in touch as we move forward.

The online Laserfiche CPP course, Getting Started with Laserfiche, is an excellent overview for those that will be interacting with the repository.    I have tried to get most of our repository users to take this.   Worth checking out.

Unfortunately the CPP courses don't seem to be online for the past week or two.  Hopefully they come back.    ( https://www.laserfiche.com/cpps )

Looking at the link you provided, I do see registration for the CCP courses ($100/ea). Definitely something to consider moving forward.

Our VAR, MCCi has an entire Training Center site. You can assign users specific 'tracks' for their area of expertise. I am sure they would charge you to use it, so, there's that. Its pretty good and an alternative to doing the training in-house. Good luck!!
