Batch Import @ Implementation

MAS in the process of implementing LF, and frankly, are struggling to wrap our arms around the process. So this basic question to try to help me focus on an important issue. We want to import our entire folder/file structure into LF - tens of thousands of files of various types, but primarily Office and PDFs - and want to understand the best way to accomplish this. I do appreciate that we need to avoid future losses of functionality by taking shortcuts during the import.

Any and all advice greatly appreciated!

Bill,

Do you need to maintain some type of folder and sub-folder structure when you import the documents?  Also, how about any metadata that might need to be assigned to the documents as they are imported?  Where would that metadata come from?

Thanks for the reply, and I'll answer to the best of my understanding as of today.

Yes, we would like to create a folder structure in the repository - not the exact same structure that currently exists.

Metadata - would very much like to accomplish this using data that can be identified in the existing documents.

No 'cast in concrete' thoughts for either of these responses

There are several tools that can be used to do bulk imports into Laserfiche; the two most common tools would be Import Agent and Quick Fields.  Quick Fields has a lot of built in flexibility for zone OCR, reverse lookup into databases for metadata, image manipulation, etc.  Import Agent will also allow for bulk imports but with less flexibility on metadata assignment. 

You can also use Workflow for document manipulation and metadata assignment once the documents have been imported.  For example you can easily do metadata assignments with workflow if you use a document naming syntax on import that will allow you to parse out a unique key for the reverse lookup.

Your best bet is to partner with your VAR to look at all of the options available to you as it can be a bit overwhelming at first.

Finally, as a Laserfiche PDP (Professional Developer Partner) my fallback position is that we can always write a quick on-boarding utility that will do exactly what you need it to do if you cannot accomplish what you need to do with all of the other tools! wink
