Document saved to repository by Laserfiche Forms doesn't appear anywhere

asked on June 15, 2016 Show version history

We have a Form that automatically saves a document to our repository when the process is completed and up until now it has worked flawlessly. However, we have an instance of the form that shows it saved the document to the repository no problem, audit trail also shows that the document was created and saved into the repository with no problem, but no one can see or find it. Audit trail does not show the document being deleted, renamed, removed, or changed in any way. So, theoretically, it should be exactly where forms said it put it. I have verified that all the appropriate permissions are in place, but we still can not locate the document. We have tried searching by entry id #, name, metadata, basically everything we can think of to no avail. Is there any known issues with documents saved by Forms not showing up despite forms and audit trail showing the process as being successful? We are on Laserfiche 9.2.

If audit trail shows it was written it really sounds like it's a permissions issue. Does your admin user have all security tags assigned to it? I know an admin user will generally have permissions to at least see every file, even if it doesn't have permissions to read it. However if a security tag was applied to the document or the folder it's sitting in then even the admin wouldn't see it.

If you use security tags I'd create a group that has all security tags, then apply that group to your admin. After you are done you can remove it.

If that doesn't work I'd check with Laserfiche support. At that point the only thing I can think of is the folder it went to has a DENY permission on it, and if there is no one who can correct that the only way to do it will be directly in the database. (Even here I'm literally grasping at straws - I don't think I've actually run into this!)

Yeah, I am an admin user and I made sure that I have all the security tags in the repository(There are only 2) as well as checking that I have full permission on the folder. I guess it must just be a problem with this one file because other forms started after it have shown up fine. Still very odd though...

Be aware that audit trail is only as good as its configuration. Are you auditing everybody or do you have exempt users?

Users with Manage Entry Access would still see documents even if they have security tags the user does not possess.

I'm not sure on the Exempt User thing, how would I go about checking that?

I do have the Manage Entry Access rights, but the document isn't there. Also, out of curiosity I tried creating a document with the exact same name as the one that is not showing up to see if it would append a (2) to the end of it which would mean it was there and I couldn't see it, but it did not.

There's no easy way, you'd have to look at each user's properties in the Admin Console. I'd start with accounts you use for automation, for example, the one used in connection profiles in Workflow.
