Question

Update Word Document feature

asked on June 1, 2016

Have a customer pushing the boundaries of what the Update Word Document (UWD) activity can handle.

Can you please provide clarification on the following items; The starting point is the document has been created by the UWD activity

Can the document be found in the repository and be updated again by another UWD activity

Is the document always replaced by the new Electronically Attached File or can you find and update the current document? If so how? I have tried using Find Entries and Search Repository by the result is I get an XML file and not the new word document.

If the user opens the created Word document, and makes changes to text change not in the Field Merge, can this changed be retained if the document is reprocessed by a subsequent UWD?

Version Control, If multiple UWD passes is available as an option, how can I use Version control. Choosing the Overwrite Document in the UWD Settings does not appear to work if the requirement for creating the new file requires the Create Entry and Attach Electronic Document to generate the new file.

You can download the Word document from a LF entry with Download Electronic Document and then specify the source as "activity" in Update Word Doc.

Update Word Document does not do anything other than generate a Word document. If you want it saved to LF, you need to attach it to an entry through Attach Electronic Document. If the entry is under version control, replacing the e-doc component counts as a modification, so the Laserfiche Server will automatically create a new version for it. If it's not under version control, you can use WF's Version Control activity to put it under version control first.

Any static text added by the user will stay if you're going the download from LF route.

As far as updating the same document multiple times, once a merge field gets data, it is a static value. If there are any other merge fields in the document, those are still available to be updated (provided you didn't set the corresponding "remove..." checkbox in Simple/Table Merge options).

For updating the same document, you can go the 'Advanced Settings' of the activity and select the option to 'Overwrite Source Document.' With this selected, the original word document will be overwritten. Using this you can update the same document in a loop.
