Is it possible to poll an outlook calendar to look at appointments - find an variable (ClientID) in the appointment details and pass both client ID and date/time values to a workflow process. Thanks

Workflow does not have any built-in activities for this. It might be possible through the Exchange Managed API, but you'll probably get a better answer in that direction from a Microsoft forum.
