Feature Request: Access Right for Public and Show in Start Process

asked on May 20, 2016

We have certain forms that are filled out by both public users and licensed users. The licensed users are accustomed to logging into Forms and clicking the Start Process button to see a list of all the processes they have access to. Currently if we have one of these forms and mark it as public, we still need to add each licensed user as a submitter for it to show in their Start Process list.

It would be great if there was a third option that made a process public and showed it in the Start Process list for licensed users. We would still want the Public option separate as there are some processes like transcript requests that are public and don't need to be displayed in the Start Process list.

Hello Blake,

I am trying to achieve something but haven't managed to do so yet. I'd like to take this opportunity to ask for your help and see if you can give me some guidance, as your comment describes exactly what I need.

We have a public form that we want to be initiated only by external individuals who have access to the public link; however, the problem we are facing is that users who DO have a license can also initiate it from the "Start Forms" Tab, which is not what we want.

The previous image corresponds to a user with a participant license, but we don't want them to have the option to start the process directly unless they have the link to the public form.

Is it because you want them to submit it anonymously?

Yes, I want it to be sent anonymously but also to ensure it can't be executed/seen from the Taskbar.

While the ability to remove it from the Start Process area isn't available, there are other ways of making sure that an end user isn't signed in when they submit a form that should only be submitted anonymously.

For example, one way would be to have a field that populates a default value based on the user's name, email address, etc. If that field is populated, then hide the submit the button and show a message letting the user know they need to log out before submitting the form.
