I don't think that's possible(my opinion)
The document has to be in the repository as shortcut is just a reference....but wait for what LF has to say.
Hi David,
If you are using .lfe shortcuts outside the repository then the repository name is embedded in this along with the entry id.
An internal LF shortcut simply has the Entry ID and is bespoke to that repository by the looks of things.
Hope this helps!
Hi Cristobal,
This is not directly possible now, and I don't believe there are specific plans to add direct cross-repository shortcuts.
Has anything changed on this? This would be a a very beneficial feature for our staff to be able to create shortcuts from "final records" (TRM) to other folders. It is very frustrating that they cannot do this. Please update us if there are now any plans in the works (almost 3 years later) for direct cross-repository shortcuts. Thank you :)
Hi Kristy,
Just to confirm, there's nothing preventing you from creating shortcuts from records (final or not) to other locations within the repository, it's just not something that can span onto different repositories. Do you have records separated out into other repositories from the rest of your system?
Hi Justin,
I was under the impression that our "Records Centre" was a separate repository, but I just talked to IT and they told me that it is actually within the same repository. However, it is locked down to only the Records Manager (myself) and Administrators (IT) having access to it. This must be why I am able to create a shortcut from a "final" record to another area of the repository, but general staff are not to. I wonder if it is possible somewhere in the security settings to allow general staff to create shortcuts on final records, but still not have any other access to the Records Centre (except the view the shortcuts provide once declared final)? Is this something that I should go to our VAR for? Thanks!
Hi Kristy,
There's no specific requirements about records under retention or finalized from being in a separate location from your main repository. I know some organization have chosen to set that up since they want to ensure limited access to specific users, but that sounds like not what you are looking for anyway. As you've noted, it can be locked down within the same repository anyway. You can set up security so that users could create or view shortcuts without having access to, say, modify records or browse the record folder structure. This is commonly known as 'Transparent Records Management' (or at least one part of it), but the general idea is to use shortcuts and entry access rights to ensure that basic users only see the records in their own environments.
I was wondering if there was any word on this for future iterations. My post was closed due to being a duplicate though I didn't see a response in this post if this would or would not be in a future iteration in Laserfiche.
