Question

What is maximum number of tags that can be put on a document?

asked on May 2, 2016

I am looking for a way to track what positions need to be trained on specific procedures we will be maintaining in Laserfiche.  Currently there is a very lengthy spreadsheet that cross references each procedure with the positions that need training on it.  I was thinking of tagging each procedure with the titles of staff requiring the training to replace the maintenance of this cross reference sheet.  The other thought was a multi-value template field, but I didn't want to clutter my template with all those positions.

Looking for the max number of tags that a document will support, or another thought on how to best capture the information I'm looking for in regards to positions needing trained.  Many thanks!

Hi Michelle,

You mentioned being concerned about a multi-value field cluttering your template. Have you considered adding the field directly to the entries? That way it wouldn't be in the template, but would instead show up at the bottom of the list and not mess with the template itself. You could even use field security to hide it from users who don't need to see it.

Justin,

No I hadn't thought of adding it as a separate field or even as the last field in the template to keep it out of the way.  Still in the process of defining this so that is helpful, thank you.

There is no practical limit on the number of tags that can be assigned. Another way to handle this is with document relationships, you could have a document representing each staff title, then create a "training" relationship between the 'position' document and the staff document. in Web Access 10 you create a relationship in the "Links" section of the metadata pane.

Robert, I will already have several other documents linked to each procedure so I'm afraid that by creating the additional documents for each staff title things may get confusing.  One procedure has 10 other docs linked to it currently.

Thank you for the thoughts on this.
