Question

Is there a token for annotation comments?

asked on April 29, 2016

I do not see it in the Help File, but is there a way to choose to print annotation comments or capture the "Comments" field contents on a document and use it as a token (that way I could use WF to create a sticky note with the comments and have it printed the way sticky notes are printed).

Thank you!

Jessica - One of the free custom workflow activities on my website allows you to read sticky notes attached to a document and makes the text available as a token in workflow.  The activity is aptly named 'Retrieve Sticky Note Text' and is available for download at www.qfiche.com/products.   All of the custom workflow activities available on the website are fully functional 30 day demos.  If that particular activity provides the functionality you are looking for and you want to continue to use it then I can provide a free license code that will unlock it for production use.

If you are looking to retrieve text from other types of document annotations then let me know and I can look at modifying that activity to read those additional annotations as well.

Go go the Workflow's properties (in WF Designer, with no activities selected, it will be in the Properties pane on the right, bottom corner "View workflow properties") and then check the box that says "Started by Laserfiche Forms".

Then, in the Token Dialog, the token should become available under Input Parameters as "Submission Comment".

Edit: Whoops, I thought you meant the comments in Forms approval tasks. My bad. ;)

If we're talking about Laserfiche annotations, then no, there is no built-in token for it. You would have to use a script to read the annotations on the document and their properties.

Workflow can read fields on a document through the Retrieve Field Values activity.
