Question

Allow use of Tokens in Sender Email Address

asked on April 21, 2016 Show version history

Hi All,

Can I please request a new feature for Workflow. Allow the ability to use Token for the Send E-mail Address field (within Advanced Settings for the Email activities). See attached. I have been requested for this by a number of people over the last few weeks.

And if so, how log would this take to be released?

Cheers

Grant

Who would those users be? Would they change from instance to instance of this workflow?

We can look into it. For the record, the account specified in the email server configuration in Workflow will have to trusted for delegation in your active directory since it would be one user sending email as somebody else.

Edit: Would the "reply to" property lower in that dialog work for you? That already supports tokens.

Hi Miruna,

I wasn't aware of the "Reply to" field that you can paste Tokens into (as there is no arrow selector button we normally use to select tokens). Thanks for pointing that out.

I have asked the users and this is a good one to use, but they still prefer the email to come from their personal address. For 2 reasons. 1. It is a personal touch and 2. Customers may manually copy the sending address and paste over the "Reply To" address.

At the moment we are looking at 12 staff members (more to follow), where we can get around it manually (eg set up each individually in the Manage email servers link and add each individually as an email server referenced object, then set up 12 routing decision branches  based on token value). But as you can see the administration is a bit clunky to maintain with staff changes.

I will suggest they go with adding tokens into the "Reply To" field until Laserfiche can potentially add as a future request.

cheers

Yes being able to put a token in the reply to field would be a great asset.  In the sender's email address would be great too.  I have tested our WF with "dummy" email addresses that don't exist and they still send through our exchange.

i am on 10.2.1 and i have used the tokens such as %(BP Initiator Email) in that field. i got they systax from the list of input parameters seen when using "Assign Token Values" in your workflow.

Choose to modify will bring up the list below select the token you want then copy the string that appears in the new value field.
