Forms 10 forming Team

I have the list of approvers for a department stored in database. The form is pulling those approvers and showing them. Once the form is submitted, it is routed for approval to one of the approvers. Is it possible to add all the aprovers for that department to a team  please? The team manager can reassign the task if any person is out of office. Please let me know.

Hi there,

You can go to Team Management page, create a team, and add all the approvers as team members to this team.

Thanks. Is it possible to add the members of the team from a database please? We have 30 different teams and the members are stored in the database,

It's not possible. Those members need to be Forms user first (participant or named user). And then add to the Team using Forms interface.

 

Can you give me more information about your use case? Are you talking about a dynamic team?

Thanks. We have like 30 different departments stored in database and all of their approvers stored in database. So, we want to pull those approvers based on department dynamically from the database. I wanted to know if we can assign them to a team once we pull the approvers from the database.

Hi there,

You need to first add all the approvers to a team. Team members are static,  doesn't dynamically add/remove members.

In next version of Forms, when you assign the task, you will be able to assign task to a specific member of the team using field variables.

WHen the Round robin fahion is chosen when creating teams, how long does it wait before assigning the task to the next team member?

I'm a little confused by your question. Round robin does not re-assign the same task to another user after a specific amount of time, but rather assigns incoming tasks to different team members automatically.

Thanks. So, if that team member does not approve within a certain time, does it not re assign it to some one else on the team?

No, it does not. You would need to add a timer event to the user task in order to reassign it to someone else after a specified time.

So, if the team task distribution is None, does it assign the task to all team members please? What does Filter do when assigning task to Team?

Yes, it will be available for team members under the available tab in Tasks. If you apply a filter to a team, it narrows down based on the criteria you specify who that task is available or assigned to. For instance, in an HR department you may have the HR Director, and 2 HR assistants. If you have set the roles for the individuals in the HR team when it was created, you could then use a filter to specify to assign the task to just the director or to the HR assistants.
