Recursively Searching File System to Apply Tags

I have a client who needs to apply security tags to documents already archived in their Laserfiche repository. The problem is, the documents are nested within multiple folders. My current workflow finds the correct files and applies the security tag when needed, however will not search through subfolders.

There are over four thousand subfolders, so manually running the workflow on each child folder won't work.

How would you create a workflow that would search through already established folders and subfolders, and apply changes?

The documents all have the same file template, and are for files with the date of 2014 forward.

Hi Haley,

 

I'd look at changing how your workflow finds entries and use a search entry which "contains" a file path.

 

The best way to do this is to open the LF Client and create an advanced search.

 

 

Select the Fields category and search by template.

Select the Within Folder category and check the box for include subfolders.

Select the Search Syntax category and be sure NOT to check the box for include search syntax in query.

 

Perform the search, confirm if all the documents in the search pane are what you are looking for.

Now you could select all these documents, click metadata, and apply the tag all at once. No workflow required.

 

Or you could copy the Search Syntax produced, ie:

{[Accela Documents]} & {LF:LOOKIN="ROCHESTER\Building and Safety\"}

*This will find all documents w/ the Accela Documents template within the Building and Safety folder.

 

Paste this into your Search activity in workflow and then process through each discovered entry as you already are. 

 

To handle the date requirements, just add the date option in the search query and proceed as indicated above.

Greetings!

Can I gather from your post that you are using an Accela/Laserfiche integration.  Is that so?

If so, can we talk?

We are. We purchased a 3rd party created web service which acts as a gopher between Accela and Laserfiche. It requires some configuration and I've been informed the vendor no longer supports it but I can speak to it just the same. I've reached out to you with an email.
