Is it possible to change the forms instance name later in the process?

Hi guys and girls,

 

is there a way to rename the instance name later in the process, means not at the creation time.

 

Example: I will like ti rename a po Forms with a Po number that it is assigned later in the process andd not at the submit step but at the approval step?

What you can do is add the PO Number to the Instance name and then when it is populated it will display. If it is not populated with a value it just doesn't supply it. We currently do this with our employee processing process where an ID is only populated for new hires and not for existing employees:

Ok I will give a try.

But I also look to update it with a workflow process directly in the Forms database (seems working), the PO number is generated with Workflow and added to a file in laserfiche and into a PO Database.

It's better using Workflow Service Task to set the Business Process variable in Forms process, instead of modifying the db, because the variable is not really submitted in Forms if you modify the db and it won't be available to the later steps in the instance.

Abby,

Thank you , By the fact I use the workflow service task to create my PO number I just add to it, as you sugest, the "Set the Business Process Variable" activitie to set the PO number and Instance number for the form that the next step in the forms business process will use and it works.

So that is a great new feature.

How do you do that in Workflow? I have the Service Task but I cannot find anything where I can set up the Business Process ID variable in the forms process in the properties.

Hi Nicki,

 

You need to click on the Start of the workflow porcess,

on the properties right panel go to properties at the bottom and click on View worflow properties

and enable the check box "Started bt Laserfiche Forms"

 

this will give you access to a lot of input variable  parameters which are related to the forms instance that start this workflow

You are in Forms, not Workflow.

There is another area? I have so far only been shown this to create workflows for forms

Workflow is a different Laserfiche product. The screenshots that Rene posted are from Workflow, not Forms.

You need to invoke a workflow from forms and what I put as screen shot is from Laserfiche workflow
