Question

Possibility to apply the change of the default volume on users' attributes

asked on February 16, 2016

Hi all,

My customer has to move new incoming files into another volume which will be the default one as the first volume has consumed most of the hard disk space. Since the change to the default volume should be manually enabled on LF Client on every clients' workstations and there is around 200 workstations to manually perform this configuration. Please refer to attached screenshot. Is there any possibility to apply this change on users' attributes instead from LF Administration Console? Thanks to advise.

Kind Regards,

Sheila

You can change the default volume for every folder in the repository by running a search for all folders:

Then in the search results select all of the folders and run Tasks->Set Default Volume:

If all folders are changed to the new default volume, all new documents will go to the new volume as long as the users have their import volume configured to "Use parent folder's default volume" (which is the default).  Some users might have changed their default import volume, in which case you can set the attribute [Settings]ImportVolume to the numeric ID of the new volume. You would need to change this attribute on the individual users who modified their default (although I doubt anyone actually did that, because why would they?). So to be absolutely sure the new volume is used, change the default volume on all folders (like in my first post) and change the import volume attribute on each user.

Hi Robert,

Infact, the customer has to make all new documents created go to the second volume. Since, they have around 200 workstations to point to the second volume (i.e the second volume will be the default one) for all new uploaded documents and the administrator has to configure this all users' workstations .. Is it possible to configure this automatically by applying it on all users' attributes through Administration Console?

Thanks to confirm.

Kind Regards,

Sheila

Hi Robert,

Can you please confirm if setting the default volume for folders in the repository is a one-off process or the administrator will have to manually change the setting for all users' workstations?

Thanks to confirm.

Kind Regards,

Sheila

From your first post, this means that the administrator has to configure the new volume as default with an LF account which has sufficient admin privileges only once but not on every 200 workstations. Then, set the Import Volume settings for each user via LF Admin Console.

Hi Sheila,

The simple answer to the question is yes, you only need to apply the new configuration setting once using an admin with manage volume privilege.

The default volume setting is actually applied on the server level and not on each machine/user. The caveat here is that this solution will only work as long as the user’s import new files with the setting of “Use parent folder’s default volume”. If that’s the case, the first step is to change the default volume on each folder (subfolders as well). Luckily, there’s a quick way to retrieve all the folders in your repository by doing a simple search:

This search will look for all folders in your repository. Depending on how large your repository is, this may be a lot of information for the system to retrieve all at once. You may want to combine this with a “within folder” search to reduce the returned results.

Once you have the results, you can select all the folders at once à Tasks à Set Default Volume. This will change all the default volumes on the folders all at once.
