Question

digital documents different on different computers

asked on February 9, 2016

Hi guys

I have a client that has excel files stored in LF. When one user opens and updates them then closes it those changes are not reflected on another users PC. Does LF only save a local copy of the excel doc? Do they need to check it out in order for it to update in LF?

I think I see the problem, I made a test excel doc and when I open it on either PC and make a change when I close it prompts with options one being if I want to overwrite which I answer yes to and all is good. Now I went to the problem excel document and when I make a change it doesnt ask if I want to overwrite exisitng doc instead it says do you want to save the changes you made to "name of doc" so I can save, don't save or cancel. How do I get this doc to prompt to overwrite instead?

OK so I exported the problem excel file to C:\ then I renamed it in laserfiche to -old. Then re-imported it to LF and now its the same on both computers however it lost a lot of data in the file and is now the older of the 2 versions? Where the heck did the latest file go?

If the document is open read-only or is otherwise in use, Laserfiche doesn't provide an editable copy - instead it provides one that could only be used locally, so it won't be saved back to Laserfiche. It should tell you this though. Basically, if you aren't prompted to send the document back to Laserfiche, it won't be in Laserfiche - edoc modifications are indeed made locally, and Laserfiche needs to know to upload them back to the Server.

Also, what version of the desktop Client are you using? A couple versions had some issues that made it slightly more likely for there to be interferance.

I've seen this behavior in 9.1.1.548. The user noticed that it wasn't asking to save as a version and the modification date wasn't changing to the latest date. It was saving in the Temp folder. I tried copying the file from the temp folder to Laserfiche as a new version but it still saved to the temp folder. I ended up having to delete the file from the temp folder and then it opened and saved with Laserfiche. It would be better if the system is upgraded to 9.2 or is 9.1.1.548 supposed to be able to handle the interference?

We have Laserfiche Rio 9.2.1.673 and still have spotty saving issues with loss of data when it comes to Excel files. I would certainly be interested in a solution to this problem.

Hi Mark,

Did you use the Laserfiche Check-Out / Check-In options? Using this is recommended for MS Office documents when editing them. This stores a local copy of the document in the users Documents Folder rather than in the temp folder when you just double click on the document to open/edit it.
