Question

Folder-specific default import profiles

asked on February 4, 2016

We are really liking the new import profiles feature in Web Access. smiley

I was wondering if there's a way to designate default import profiles per folder, similar to how folders have default volumes. Essentially, we're looking for a way to enforce template/metadata requirements for some folders. For example, documents imported into the Invoices folder should always have the Invoice import profile selected by default, because that profile has the Invoices template, which has required fields set. I know workflow can automatically set the template, but it can't auto-populate the fields the way a user can. So we're trying to impose more control on forgetful users.

Is this possible at the moment, or is something like it in the works?

Hey Ege!

Interesting feature request! We are planning on implementing a default Import Profiles in Web Access 10 SP1. However, under the current design, it would be repository wide, not folder specific. The folder specific case is interesting, and something that we can mull over for SP1 or a later release.

For now ,the best way to mimic this behavior is to go to Options->New Document, go to Import Defaults, and set the Template default to 'Use Parent Folder Templates'. The, structure the repository so that templates are assigned on the parent folder (Invoices folder, for instance) and the effect you mentioned with required fields would take effect.

I know this won't address every use case or situation, but hopefully this can be address some situations for the time being. Thanks for bringing up the idea!

Hi Ryan, I would also second this feature request! Any chance there has been advancements? Perhaps something we can look forward to moving forward?

There's also the Workflow option.  Workflow can be set to monitor specific folders and change templates, document names, etc.
