Question

contract management

asked on February 2, 2016

Does anyone use Laserfiche 10 for contract management? We have Forms and will purchase Workflow later this year, and I want to know if these are the components I needs to create a contract management solution for our city. I'd love to talk with anyone who has implemented this or with someone from LF who can tell me the best way to build the architecture with LF 10, forms and workflow or if we need different components. Thanks!

The City of Saratoga uses Forms and Workflow for Contract Management. We created the template and our VAR, ECS created it for us. The Form is created to look like our previous paper routing. Then the staff person uploads the contract, insurance, and other documents to Forms. Forms routes the contract to certain staff for approvals. Once the approvals, including the City Clerk, are done, Workflow puts the finished documents into our Laserfiche repository.  However, we still have our Contractor, Attorney, City manager, and City Clerk wet sign a paper document for our records.

Our workflow in Forms is quite complicated and we could not have done it ourselves. The Form itself is not hard to create.  I have attached a simplified version of our workflow for the Form.

We have LF10, including LF Forms and LF Workflow and both tools are absolutely great tools to purchase.  We have created a contract management using Workflow only, however, it is not activated yet, as we do not have all of our departments in LF yet.  Our two biggest depts. will be going live in a month or two.  I strongly recommend purchasing Workflow!
