Question

Security on Fields

asked on January 27, 2016

Maybe I'm missing this option, is there a way to apply security to fields? Lets say this portion of fields should only be typed in by HR. Or after submission apply these fields to the form. In the Laserfiche repository we can restrict access to certain fields or make them read only for a certain group.

This currently is not a feature of Forms, nor do I think that is in the future plans. This is more aptly handled using multiple forms and routing those forms to the proper users. You essentially would create 2 forms, one for the user to fill out and the other for HR to fill out. The fields you want HR to fill out you leave off the user form. You can add the fields the user fills out to the HR form and make them read-only so that HR is unable to modify them.

You can set the security of a field so that some users/groups have different rights from other users/groups, but it is always applied to the field and not changed at different stages of the documents process.

To change the field security, log into the admin console and expand to the fields node.  Open the Field Properties and in the bottom of the properties window, you have a security button.

In a single forms process, you can have multiple forms.  You start with the original form that is submitted by the initiator.  Then when you route the submission to another user/group, you can send them to a different form.  If you want, the forms can have all the same fields with different security so that they maintain the look your users are expecting.
