Forms 10 Assign Notification

Hi All,

I'm just wondering if there's a way in Forms 10 to limit email notifications when a task is reassigned to only send if the task is being assigned to a different user? I have a process where a task might be assigned to the same user and don't want their inbox being clogged up, but I would like an email notification if the task gets reassigned a different user.

Is this at all possible?

Hi Abby,

 

I have a similar request and will explain our Business Process:

 

We have a 3 Managers of a Team who are vigilant in using the forms portal and does NOT want email notifications for tasks assigned to their role in the Team. So, the email notification is turned off for the task.

The 3 Managers then action the incoming forms for this task by reassigning to another Team member (this they would prefer to do manually as it depends on many variables). But the user that is assigned to the task does not receive an email alert (as the task itself is not set to email). We need the users to receive an email alert as there are a large number of them who do not use forms very much and need the reminders with the task link.

It would be a very handy feature. You could set up a tick box option on the reassigning task screen (see attached) that would display only when the Email notification is set to off.

I would also like to request the feature that Grant Callaghan mentions above... yes

Additionally it would be helpful if this proposed feature was also available at the Team level.

 

For example, in addition to the reassign task option that's depicted above, you could also check a box to "Notify User on Reassignment" from the Team's configuration screen.

That way, any reassignment would automatically have the "Email with link" option already selected, but could easily be deselected if necessary.

 

Here is our business use case:

  1. Office Manager submits an Laserfiche Form that requires a specific Director to review and approve, but which Director needs to review will depend on certain criteria outside of the Form itself.
  2. This feature would allow the Office Manager to submit the form for a Director Approval (Team) Task, and then as a Forms Team Manager, reassign the Director Approval task to the correct Director of several in the department. (For example there are 5 Directors that an Office Manager would potentially need to submit forms for...) 
  3. Right now, this scenario is possible... However, the Forms User being reassigned the task wouldn't be alerted, which is a requirement.

Currently there is no such setting in Forms, but that would be a useful feature.

Can you tell me more about the real scenario? What's the business process? Why need to assign to same person? (or the same person is one of the assignees?)

In this case, the user 'Updates' the task by submitting the form until it has been completed. This is achieved by using a Teams filter to assign the task back to the user who submitted it. It's possible that a user may assign the task to another user to complete however, and at this point I'd like an email to be sent to notify them that the task has been reassigned.

Unfortunately, if I turn on email notifications the user that is updating the task is bombarded with emails each time they update, and if I turn it off, when a task is re-assigned the new user is not informed by email.

Hi there,

Save user task as draft is supported in Laserfiche Forms 10. So in your case, user doesn't need to be Updates the task by submitting the form? What business process is it? And what type of task need to be constantly updated?

Hi All,

 

Any updates if this feature would be available? We have a user case where we have a team that are assigned administration jobs and basically if they are re-assigning the tasks, they are being made aware unless they are informed or log into the Forms inbox. 

 

If they were to get a notification advising them that a task has been re-assigned, that would be great,
