"Key Reference"

Good Afternoon, 

 

We have a customer asking about a sort of key referencing capability within laserfiche. What they are going after is say they have a template for like W-2's. They want to only type in the SSN and have the remainder of the fields auto populated like First Name, Last Name, etc... 

 

Naturally I understand this information must exist somewhere, such as a database table, csv file, etc... But is there such capability with Laserfiche to do such thing or would a custom script or workflow need to be created for this?

Hi Juan,

This can be done in a few ways.

  1. Quick Fields and Lookup - You can use Quick Fields to scan in documents and at scan time, it can be configured to automatically capture the SSN (if it's present on the document somewhere) and then perform a lookup against their data source to get the corresponding data to populate the other fields. Note that the lookup can also be configured to run manually based off of user input of the SSN instead of automatic capture of the SSN.
  2. Laserfiche and Dynamic Fields - You can configure an external table in the Laserfiche Administration Console and then use that on conjunction with dynamic fields that would allow a user to input the SSN and then have the remaining corresponding values populated in the other fields. In this scenario, the SSN would be the parent field and everything that depends on the SSN would be the child fields.

I played around with option #2 that you suggested and it seems like it is what we are looking for with the exception that the Parent Field is only presented as a drop down menu instead of allowing the user to enter in some value. As you can image, with a large table that might become cumbersome to scroll through all that to select the SSN one is targeting. Is there a way to not have that parent field be a drop down menu and just allow for them to input text, if no relevant child fields are associated then those fields would be left blank.

Hi Juan,

You should be able to use the keyboard and when you start typing, it will jump to that value. If you're not able to do that, let me know what version of the Client you're using.
