Question

Duplicate files (attachments from the 'Upload' button) being created at each step of approval

asked on November 30, 2015

I have a business process in which there are 5 forms with a lot of common fields, that go through 5 stages of approval. After each stage I save the respective form.

One common field is the 'File Upload' field, so, at each step the files that the user uploaded initially gets saved to the repository again with a number appended to the file name. This happens even when five different people are approving the form from five different computers, so the file is not being re-uploaded, it is being replicated in the repository.

How can I prevent this from happening?

Maybe you can try to enable "Track Version for New Documents" option for the target folder in repository;

then it will only save one file, but with multiple versions.

Thanks, I do not have access to that setting, will ask the admin about it. Until then, can you tell me if we have an option to purge versions older than X days out of the repository, or maybe have the version control store only the latest version.

Seems there is no way to purge older version in repository automatically, you need to delete older verions manually.
