Client displays Workflow as entry owner, last modifier, and creator

asked on November 30, 2015 Show version history

We have several filing workflows that create shortcuts for various department views.  When the shortcut is created, the client columns Last Modified By, Created By and Entry Owner all display Workflow, instead of the the actual owner.  Right-clicking the shortcut and going to properties shows the correct owner/creator (the person who initiated the workflow).

The record series also properly displays the correct owner/creator in the client columns.

Is there anyway - either a global setting or workflow tool - to force the LF Client to show the correct owner for shortcuts created by a workflow?

Thanks.

If you have a workflow that creates those shortcuts, then the values are correct. Workflow does not impersonate the user who started it, it uses the one specified in the connection profile.

Thanks Miruna. I don't want to impersonate an end-user because they will not have all the permissions that our Workflow user has.

I tried to change the owner of the shortcut in workflow by using the "Set Entry Owner" tool.  I changed the starting entry to be the shortcut that workflow just created, but the tool changes the owner of the original document, not the shortcut.

Is the "output entry" of the shortcut not the shortcut itself?

Are there any other workarounds I can use to resolve this issue?

Thanks again.

This issue was resolved by adding a custom field to the repository that stores the name of the person who initiates the workflow, and pushing out that column to the displayed columns for all users.
