Question

Add hiden emails when saving a draft

asked on November 13, 2015

Hi everyone,

We want to send an e-mail to a couple of specific employees when a customer wants to save the form as a draft, just an informative e-mail, something like: "The customer X saved the form Z as a draft". Obviously we don't want the customer to add the e-mails of people they don't know, so those e-mails should be hiden.

Is there a way to do it? If yes we will appreciate if you could let us know.

Thanks and have a nice day.

No, drafts are a "private" action and don't trigger any business process activities, so there isn't a way to send an immediate notification to other people when a user saves a draft.

You can use workflow to periodically do a lookup on the cf_submissions table though. If I remember correctly (not in front of my computer right now), if the action equals "_SaveAsDraft" then that's a draft and you can look up the draft email to figure out who it is.

Hi Ricardo,

As Ege noted above, since saving a form as a draft does not kick off a Forms Process, only the submitter would be able to enter an email and send a copy of the draft. If you’d like to send email notifications to users with hidden emails, the form must be submitted and routed to a Service Task

Let us know if you have any other questions. Thanks!
