Question

Can we 'enable' business process using TAGS

asked on November 3, 2015

Is there a way to ‘enable’ a business process based on the ‘TAG’ assigned to an entry? e.g- if certain tag is assigned to an entry, only then a business process can be 'viewed' or 'enabled' for that entry.

I know, there are certain options under Business Process Rule -> Requirements, that can be used to enable business process. But I don’t see Tags as one of the options.

Is there another way to do this?

Tags are available on the Metadata Requirements tab in the business process rule. However, they will be checked after the user tries to start the business process, so they can't control whether the process is visible or enabled. You can customize the error message returned to the user when they try to start a business process and the tab condition is not satisfied.

Personally, I think the better option is to have your BP perform a check to see if it's eligible to continue the Business Process. A hidden field that would only be visible to workflow plus a user or group that you have in mind to apply that tag. If the BP is kicked off without that tag it could update the BP dialog to indicate why it didn't process.
