Question

Compare changes between separate documents

asked on September 28, 2015

I was discussing the compare changes feature recently for a legal client and they raised a valid limitation with the compare changes functionality in respect to document versioning.

Currently it is possible to compare changes between Word documents but only if they are versions of the same document. However, in this case the user would draft a document, send via email for review by a third party who would suggest changes and make some amendments before sending back to the original author so we now have two separate documents. If the user saves the updated document to Laserfiche they are not easily able to add it as a newer version and thus compare changes. The upload new version button only allows us to select a document from the Windows folder structure so they would have to then save the document back out of Laserfiche in order to add as a new version.

It would be better if we could specify a document within Laserfiche to compare changes against rather than limiting it to versions (though I appreciate this is logical in most cases), and/or allow the upload new version function to browse Laserfiche folders also.

If the documents were staying internal then links would be an option but these documents are being sent out externally to third parties and then emailed back.

Hi Nigel,

Separate documents can be saved as versions to compare changes. So, when the document is emailed back and saved to the computer, you can upload it as a new version to the document you'd want to compare changes with. To do this, you'd highlight two versions and click compare changes. Then, click "Changed" to view the changes in Microsoft Word.

I can see how that would work but the client questions why they must first save the document outside of Laserfiche in order to then upload into Laserfiche as a new version. It seems illogical when we're trying to get them to store everything into Laserfiche directly.

Currently the task of comparing documents post Laserfiche has become more difficult for them which causes frustration.

I suppose you could also use document relationships here?

Or the other solution here would be to email a link to the document around, rather than the actual document?
