Question

Workflow Administration Database Maintenance

asked on September 24, 2015

I'd like some clarification on the Workflow Database Maintenance. There is some explanation here: https://www.laserfiche.com/support/webhelp/workflow/9.0/en-us/content/resources/Admin%20Console/Database_Maintenance_Timer.htm however I'd like some more information on what the instance data refers to.

On the database maintenance page it say:

  • Remove instance data for completed workflows: This option deletes data associated with completed workflow instances after a specified period of time. Any data older than the Lifetime specified will not be available to new search results.

What type of data is associated with the workflow? It's been suggested to put that as 1 day and I was curious to know exactly what's going to be removed after 1 day.

Everything displayed in the instance history, like entries involved, activity duration and status, any messages and token values tracked is running based on data saved in SQL. This can amount to a fairly large part of the database on active servers. Since this information is irrelevant after the workflow instance is complete or shortly thereafter, Workflow defaults to deleting it from the database 30 days after the instance completion date.

I'm not sure why it was recommended that you set it to 1 day, it seems a bit aggressive unless the goal was to reduce the size of the database. It does assume that any problems with the logic in a workflow's design would be found and investigated within a day of that workflow's termination or completion.
