Question

Impact of Versioning

asked on September 23, 2015

Hi,

What should we keep in mind before enabling Versioning on a Repository / Particular folder structure?

Will there be any impact on storage ( like multiple files getting created even for small changes ), Any workflow/database related changes that we should consider?

Best,

Srikanth

Hi Srikanth,

If you'd like to take an in depth look at how versioning can be configured and used, I would check out the Versions section of the Laserfiche User Guide. If you have specific concerns about workflows and your database, it would be helpful if you provided a few more details.

In terms of storage, there are two components to consider. In Laserfiche, the volume holds the file itself while the database contains the file's information, such as metadata and annotations. This means that how your storage is affected will depend on what the changes are.

If you change the actual document , then a new file will be created for each version in the volume, but the only information that will be added to the database is information about the version history. If you only change metadata, then it won't create a new file.

Either way, you don't need to worry too much about storage when you're enabling versioning as the files are usually relatively small. Let us know if you have any other questions!

One thing to note is that the impact may be significantly larger if you are working with electronic documents such as word files. In that case Laserfiche has to save a separate copy of the entire document (instead of just individual pages), and those can add up. Just something to keep in mind.

Thank you Anita and Justin for the replies. We have considerable amount of PDF documents. Users tend to add/remove files . If I understand correctly, Laserfiche creates a new document for such cases. I will research more on this before enabling versioning.
