Import Searchable PDF and Generate Metadata

I am attempting to take a searchable PDFs from a folder in windows and import them into Laserfiche. Using the text associated to the pdf, I would like to generate metadata then route the document accordingly. The process should be fully automated.

 

There are two methods I have thought of to complete this task.

 

  1. Use Import Agent to monitor a folder and import each pdf along with its Searchable Text. Then use Workflow to Parse the Text and assign metadata.
  2. Use QuickFields to process the document, gather the required metadata (Zonal OCR), assign metadata and store the document within Laserfiche.

 

What are the Pros and Cons for each approach? What are the pitfalls to using either approach? Which will be the easiest to implement?

Sounds like there are a couple of different approaches you could take to your document import, depending on how much image clean up you require. You could use Import Agent and Workflow, Quick Fields, or a combination of the two.

 

If you go with Import Agent:

  • Automatically bring documents in from network folder
  • OCR to generate searchable text
  • Assign index values
  • Workflow can parse the document name to grab metadata with Pattern Matching

 

If you go with Quick Fields:

  • Automatically run document sessions with Quick Fields Agent (Quick Fields is manual without Quick Fields Agent)
  • OmniPage Zone OCR
  • Assign index values
  • Image enhancement (ex. Line removal, color smoothing, etc.)

 

Overall, you would have more flexibility and image processing options with Quick Fields. You could also automate the process with a combination of Quick Fields and Import Agent. With Import Agent, you would scan documents into a network folder monitored by Import Agent, where they would be automatically saved into the repository. From there a user could run a Quick Fields session, or Quick Fields Agent could process the documents automatically to fill out metadata and file appropriately.

 

Note that there are price differences between the products, which your territory manager can provide more information about.
