How to display a column "Locked By" on Web Access

asked on August 18, 2015

On repository using LF client I can right click on column heading and select "Locked By" from column display to display this column.  But I cannot find the option to display this column on Web Access.  Does anyone know how to do this or where this column is on Web Access?  Thank you.

Given that this should be reflected by the user you are using in Web Access, if the user is the same, I would suggest to clear your cookies to see if there is anything stored that way. I have ran into that issue when setting the display for a Weblink user and the changes were not reflected until the user cleared their cookies.

Cristobal,

I mean can this be configured on Web Access?  The settings under browser columns on Web Access does not have 'Locked By' in the available column for me to choose.  I tried to do this using LF client and it displayed Locked By column, but when I used Web Access (with different browser and/or cookies deleted) the column still does not show up.

You are correct that the Locked By column is not currently available in Web Access. In addition to being a column in the desktop Client, this information is available in the administration console. Is there a specific reason why you want end users to be able to view the user that has the entry lock?

Thanks Brianna.  There is a case that the file could be "worked on" by other user.  I am trying to find out a preemptive solution.  For example have an indication on the shortcut and/or document that it is being edited at the moment so no users work on the same file. We are using Web Access. Even if it is possible on web access I understand that the current user would have to modify the document before the document is "locked by" that user.  If this is the case this option will be less practical for us.

Here are the conditions we have:

  1. The users will access document via shortcut.
  2. There will many users.  So routing a shortcut to folder specific per user is not an option for us
  3. The users will be using Web Access
  4. The user will need indication on the shortcut/document that it is not being "worked on" by other users so they can start working on the document

Will you be able to give us suggestion on any approach that we can solve this issue?  I also heard of "checked out" functionality but that option is grayed out.  Do you know how we can use it or if it's applicable to our scenario?

It sounds like you really want to use check out if the goal is to keep other users from working with the documents - the locked entry column (which incidentally will be added in the next version of Web Access) would just be a workaround in this case, and that's the scenario check out is there to solve. Note that checkout should always be available on edocs, but will only be available on imaged documents if they are under version control.

Thanks Justin.  The user will be accessing document via shortcut.  They can check out document on shortcut icon.  But the column "Checked Out By" does not display that the document that this shortcut is pointing to is currently being checked out.  Is there a way to have this information displayed?

Are you sure it's refreshed since the operation? It shouldn't matter if it's the shortcut or the source document, the checkout operation is always on the source document anyway.

Hi Justin,

We have a folder that contains shortcuts.  The user right click on shortcut and check out document.  When this happens, the actual folder that document resides displays the name of the user that checked out the document under "Checked Out" column. But on the folder that contains shortcuts, there is no display that other user has checked out this document.

Is it possible to have the "checked out by" display the name of the user that checked out document in the folder that contains shortcut?

Folder that contains shortcut

Folder that contains actual document

I also noticed that some users can see the name in "checked out by" on shortcuts, but some users can't.  Is there a permission or access that I have to set for this to be visible to all users?
