Importing into Laserfiche with Index Values

Good Afternoon, 

 

I have about 16,000 files which i have a xlsx file the relevant indexing information for each image. I was wondering what the best way of importing these images to the repo would be. I'm assuming I'd first have to create templates with the fields that match the xlsx file and then possible make a workflow to process them? Or does Import Agent handle this scenario?

Yes, create the template and fields first. Quick Fields would probably be the most straight forward option as you can import the files and use a lookup to query the data from the xlsx file to populate the fields.

Alexander, 

Is Import Agent able to populate the 'template' values using the file names of records being imported? It seems like it should.

Import Agent has support for tokens that can be used to set field values. Alternatively, you can create a list file to go along with the documents and specify field values. Workflow can be used for further processing after the document was imported.

Other than having to purchase Quick Fields, would there be any other available option?

Workflow could be an option, but it depends on how you're going to lookup the data in the xlsx file to know which values belong to which document.

For example, let's say you were going to do the lookup by document name. If that's the case, then you can first import the documents into the repository. Then using Workflow, you can run a search for those documents, loop through each entry, do the lookup, and assign the field values.

Hello 

I'm bringing up this question again as I have finally finished creating a workflow for newly imported/scanned documents to get routed to correct folders and renamed. 

 

I was wondering if you could please give some pointers/advice on how to achieve assigning the data fields to documents which i need to import. 

 

The current setup. 

 

I have a folder named for example ADMIN which includes all the tiff images that will be using an Administration Template (already created in LF). I also have an Excel Workbook (which can be just a simple csv file if needed) that includes the image name (That is located in the ADMIN folder) along with all the indexing values from the LF template, (The yellow columns are the fields from the LF Template) 1st column is just the file name, 2nd is the template name 

 

 

I have looked at some of the workflow features but can't really determine how I could manage to assign field values from a file like this using workflow. 

 

Lastly, What would happen in the following scenario. 

 

1. Import some documents.

2. Assign field values to template via a workflow. 

3. There is a minor deviation from the Template List Entry and the entry from the excel sheet 

For Example: 

Laserfiche Template List Entry " Disney World Inc. "

Excel Column Entry for that field "Disney World Inc " (No period .)

 

Would this simply not get imported? Would it produce an error and halt the whole process?

This would depend on how the workflow is created.  Most likely it would just skip that row as it would not find a matching document.
