Automation issue

asked on July 24, 2015

Hi have been ditched with an issue with Laserfiche which in short I do not know how to use and our Laserfiche supplier is being useless in helping.

We currently have a network folder which is set to pick up images that an externally entity leaves in it.
The documents should be picked up by the Import Agent which has a job filter to only pick-up files where the titles have a certain naming convention and file type.
I presume from this filter Laserfiche then processes these files renaming and deleting them once processed.

Problem this has never really worked correctly and any new files uploaded into the folder now have a different naming convention which I could get the externally entity to change to but where do I view/ alter the settings that Laserfiche uses to decide what to do with these files(thats if I am on the right track)?

To handle the settings for the incoming files you would start with the Import Agent Configuration Utility on the Laserfiche server.  You will find this in the Laserfiche folder under Programs.  You will see a list of the configured profiles and can edit the profile to configure the name, file type, monitored folder, etc...

Once the file has been brought into the repository, there probably is a workflow which has either a starting rule to run when a document enters the folder or on a schedule.  Here you will need to go into the Workflow Designer where you can both alter your starting rules as well as the business process that is run on the new document.  Hopefully whom ever set this up used a logical naming convention so that you will know which workflow is correct.

I know this is kind of generic but without knowing any of the specifics it's difficult to give specific direction.

I am can access the IA and which repository it goes to see but don't appear to have the WorkFlow Designer software which is probably part of the problem.  We are using version 8.1 of the software which I am guessing is completely different to the screenshots.

The workflow part may or may not be there depending on the setup you inherited - it looks like you don't have it, so you should be able to ignore the second part of Glenn's post. It's generally part of a more complete setup, but regardless the Import Agent configuration is the place where you would update to match changes in the source file name.
